Job Description

The University of Notre Dame seeks a dedicated and detail-oriented professional to oversee the operations of its motorpool and golf cart rental services as the Motorpool Coordinator. This role ensures seamless vehicle and cart management while maintaining exceptional customer service and operational efficiency.

Key Responsibilities

Motorpool and Golf Cart Operations
  • Manage vehicle reservations for University customers, ensuring availability and smooth operations.
  • Assign motorpool vehicles and coordinate with the University’s auto rental agency to secure additional vehicles as needed.
  • Oversee the golf cart rental process, including assigning carts and coordinating with the University’s cart rental agency for additional inventory.
  • Maintain accurate rental agreement documentation for both motorpool and golf cart operations.
  • Ensure all vehicles and golf carts are clean, well-maintained, and operational.
  • Provide professional, customer-focused assistance to all users of the service.
Billing and Financial Oversight
  • Verify and ensure accuracy of billing from vehicle and golf cart rental agencies.
  • Process charges to appropriate departments for vehicle and cart rentals.
Notre Dame Shuttle Operations
  • Oversee shuttle functions, including tracking ridership and updating information to enhance efficiency.
  • Manage Buswhere system to ensure shuttle tracking and operational transparency.
  • Create and maintain shuttle driver schedules to meet transportation needs.
  • Ensure shuttle tablets are operational and integrated for tracking purposes.
I-PASS Management
  • Oversee I-PASS toll road transponders and stickers for University vehicles.
  • Assign transponders and process paperwork to ensure appropriate departmental charges.

Minimum Qualifications

Education: Associate degree or up to 3 years of college or technical school.
Experience: 1-2 years of experience in operations, logistics, or related fields.
Skills:
  • Excellent customer service skills, with a professional demeanor.
  • Strong verbal and written communication abilities.
  • Proficiency in Microsoft Office (Word, Excel) and comfort with learning new technologies.
  • Exceptional organizational and multitasking skills with strong attention to detail.
