The Office of the Chancellor is responsible for the organizational advancement of North Carolina State University. As the Chief Executive, the Chancellor provides strategic leadership for North Carolina’s largest public University, enhancing NC State’s position as a preeminent technological research university. Successfully navigating this fast-paced and often politically sensitive environment requires excellent judgement and thoughtful perception.

Essential Job Duties

This is an internal posting for current NC State permanent and temporary employees, and candidates with RIF priority. 

The Administrative Support Specialist provides critical support to the Chancellor’s office by managing a wide range of administrative functions, including drafting and editing high-level correspondence, maintaining official documents, and coordinating with various campus departments. Acting as a primary point of contact, this role is responsible for ensuring that communications, documents, and records are processed efficiently, adhering to office standards and university policies. The position also provides direct assistance to the Chief of Staff, facilitating meeting logistics, managing schedules, and ensuring organization of key documents.

Primary Responsibilities:
  • Assistance with drafting, reviewing, researching, and editing correspondence for the Chancellor and his office.
  • Logging, sorting, and distribution of mail and incoming documents.
  • Maintenance of documents requiring the Chancellor’s signature.
  • Answering and directing incoming calls and guests.
  • Oversight of the preparation and facilitation of bi-weekly meetings of the Chancellor’s cabinet.
  • Maintenance of OnBase platform and electronic filing of official documents.
  • Providing a high level of visible customer service and support, acting as the primary point of contact for incoming phone calls, emails and correspondence in addition to greeting and assisting in-person guests.
  • Providing supplemental administrative support to the Chief of Staff.
  • Calendar management and meeting coordination as needed.

Minimum Experience/Education

High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

Other Required Qualifications

  • Strong writing and communication skills
  • Skilled in content editing for style consistency and accuracy
  • Strong knowledge and relevant experience with NC State University systems and processes is preferred, in order to successfully perform the responsibilities of the position.
  • Must possess a high degree of problem solving abilities and customer service skills
  • Must have the ability to read, understand and apply federal, state and university law/policy to a variety of situations when making complex decisions.
  • Exemplary communication skills, both written and verbal, are a must since interpretation and communication of complex laws, policies, and regulations to various levels of campus employees is critical.
  • Demonstrated Administrative Support capabilities

  • Attention to detail and accuracy

Preferred Qualifications

  • Previous progressively responsible administrative/office management experience.
  • Previous administrative experience in higher education.
