Clinical Fellowship Program Coordinator
Job Description
The Department of Pediatrics is seeking a Clinical Fellowship Program Coordinator in the Pulmonary division. The successful candidate will support all aspects of a labor-intensive Fellowship Program, work closely with the Director and the ACGME committee to maintain the program ACGME accreditation status, and will liaise between the incoming fellows, central credentialing and the registrar’s office.
Specific Duties & Responsibilities
- Work closely with the Principal Investigator of the T32 grant that supports a four-fellow three-year program at all times.
- Responsible for maintaining a database of current status of all fellows graduated from the Pediatric Pulmonary Fellowship Program as part of the annual T32 grant progress reporting and 5-year renewal process.
- Work with the Pediatric Residency Program to prepare monthly inpatient schedule and training sessions.
- Caters to all visiting rotating interns, fellows and students with credentialing that sometimes include working with the Office of International Services to secure visas for foreigners.
- Responsible for the weekly outpatient fellows’ clinic with confirming patient’s appointments and provide triaging assistance on clinic days.
- Responsible for facilitating pulmonary medication prior authorizations for the Division with Johns Hopkins Pharma quip.

- Plan, prepare and collect data for committee meetings.
- Process, maintain and create evaluations through New Innovations.
- Liaison to fellows and director.
- Follow current policies and ensuring compliance.
- J1 Visa process; use of ois.jhu.edu.
- Maintain National Residency Match Program (NRMP) website.
- Process fellowship candidate applications through The Match Program.
- Create fellowship candidate itineraries.
- Process orientation schedule for first year fellows.
- Assist fellowship director for the Pediatric Pulmonary Fellowship Program accreditations and updates.
- T32 Grant maintenance; continual collection for T32 grant submission, including data tables to include
- Process statements of appointments and terminations through the National Institute of Health (NIH) X-train website.
- Maintenance of National Science Foundation-NIH Survey of Graduate Students and Post-doctorates in Science and Engineering processing.
- Maintenance of FREIDA/American Board of Pediatrics website.
- Prepare senior residents and interns schedule for Pediatric Pulmonary rotation.
- Maintenance of education material on J: Drive for fellows and residents.
- Credentialing of pulmonary international/domestic visitors and rotating medical residents and students offsite and onsite.
- Process annual schedule for Pediatric Administration in New Innovations for faculty for incoming pulmonary residents/interns.
40% Clinic Schedule Management
- Coordinate and finalize clinic schedules in collaboration with the fellowship director, assigned faculty, and fellows, ensuring compatibility with rotation timelines.
Expense Management
- Process expense requests in CONCUR for faculty and fellows, ensuring they are handled accurately and in a timely manner.
- Provide administrative and MOC support to providers, including but not limited to triage and care coordination for patients, schedule outpatient visits, review clinic schedules, and make adjustment as appropriate, and complete the required documentation in Epic as needed
- Facilitate the processing of medication prior authorizations
- Coordinate Apnea Monitoring with DME companies, including billing.
- 3 hours back up on phone daily for pulmonary division which includes clinical triage.

Minimum Qualifications
- High School Diploma or graduation equivalent.
- Five years progressively responsible related experience.
- Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
- Five or more years of progressively responsible experience with a fellowship program.
