About the Department

The Office of University Interdisciplinary Programs is a unit within the Office of the Executive Vice Chancellor and Provost that provides leadership, direction and oversight for the programmatic planning and implementation of universitywide interdisciplinary programs and initiatives. This office builds on successful interdisciplinary efforts that were begun as part of NC State’s 2011-2020 strategic plan. The office also brings key Provost’s Office units and initiatives that cross disciplinary boundaries together in one place. It fosters and supports partnerships with university-level interdisciplinary programs and oversees the following: the Chancellor’s Faculty Excellence Program, academies, the Biotechnology Program, the Climate Solutions Collaborative, the Coastal Resilience and Sustainability Initiative, NC State Innovation and Entrepreneurship, the Integrative Sciences Initiative (ISI) and Woodson Hall, the Shelton Leadership Center and the Sustainable Futures Initiative.

Essential Job Duties

This is an internal posting for current NC State permanent and temporary employees, and candidates with RIF priority. 

The Executive Assistant supports the Senior Vice Provost (SVP) for University Interdisciplinary Programs. In this role, you’ll play an important part in the success of high-profile initiatives, serve as a trusted advisor, and contribute to the seamless operations of our office. This position reports directly to the SVP and collaborates with campus administrators, faculty, and staff.

Key Responsibilities include but are not limited to:

  • Calendar Management: Oversee the SVP’s extensive schedule, anticipating needs and ensuring efficient time management.
  • Financial Support:Use of a procurement card for booking travel, ordering and purchasing meeting meals, purchasing of office equipment/supplies.
  • Policy and Process Expertise: Interpret and implement university and system-wide policies, procedures, and guidelines.
  • Program Support: Manage and track actions for the Chancellor’s Faculty Excellence Program and related endeavors, including formalizing processes, tracking hires, and updating communications materials.
  • Meeting Preparation: Research, organize, and prepare materials for meetings, presentations, and travel, ensuring the SVP is well-informed and equipped.
  • Event Coordination: Assist with planning and executing events, including background research, logistics, communications, and on-site support.
  • Liaison and Communications: Serve as a representative of the SVP, drafting email responses, updating website content and acting as a liaison with direct reports and other university offices.

Other Responsibilities

In addition to the core responsibilities of this role, there will be occasional opportunities to take on additional duties, such as providing coverage for the Office of the Executive Vice Chancellor and Provost front desk as needed. This offers an opportunity to build on your skills, explore new areas, and gain a deeper understanding of the department’s operations.

Minimum Education and Experience

High School diploma or equivalency and three years of progressively responsible administrative/office management experience; or graduation with an associate’s degree in Secretarial Science, Business Administration, or a related discipline and one year of progressively responsible administrative/office management experience; or bachelor’s degree, preferably in Business Administration or a related discipline; or equivalent combination of training and experience.

All degrees must be received from appropriately accredited institutions.

  • Proven ability to handle sensitive information with discretion and make sound decisions in complex situations.
  • Expertise in managing complex schedules, organizing meetings, and coordinating events with precision.
  • The ability to understand and apply organizational missions, strategic goals, and cultural nuances to daily tasks.
  • Strong communication skills tailored to diverse audiences using various media, and a history of working effectively with academic and administrative professionals.
  • Exceptional attention to detail, the ability to manage multiple priorities efficiently, and work independently with minimal supervision.
  • A courteous, professional demeanor with a talent for fostering positive relationships with internal and external stakeholders.
  • Advanced experience with Google Workspace, Microsoft Excel, Word, and PowerPoint, and the ability to quickly learn new technologies.
  • The capability to excel in both in-office and remote work settings.

Preferred Qualifications

  • Experience working with academic leaders across disciplines
  • Skilled in planning and executing events, as well as creating and maintaining web content.
  • Experience drafting professional communications and detailed reports.
  • Proficiency in downloading, analyzing, and interpreting expense reports.
