The College of Arts and Letters (AL) is the oldest and largest of the colleges and schools at Notre Dame. It is the home of the humanities, social sciences, and fine arts and hosts several interdisciplinary and cross-college undergraduate programs (see here and here). The successful candidate will join a veteran team of assistant deans and academic advisors who perform two main academic functions: undergraduate administration and collegiate academic advising.
The academic advisors work with the assistant deans who make dean-level decisions for AL undergraduate students and who interpret and apply the rules of the University’s Undergraduate Academic Code in a manner that ensures consistency, equity, and integrity. Ability to collaborate, develop expertise, use discretion, and exercise sound judgment are essential to carrying out this function of the position.
The Arts and Letters degree is the freest and most flexible of the University’s undergraduate degrees. Beyond University, College, and Major requirements, students have an abundance of free space available in their curriculum. This is by design. Beyond requirements, students have ample time and space to take additional courses in their majors, complete a second major or minor (in certain cases), study abroad, pursue research opportunities and advanced language proficiency, and engage in professional development. For this reason, academic advising in Arts and Letters is a highly collaborative effort which relies on strong relationships and consultation within the office and across the College and University.
All AL students are assigned an academic advisor and one departmental advisor/director of undergraduate studies (DUS) for each program (major, supplementary major, and minor) they declare. Advancing the Dean’s priorities for undergraduate education in the College, academic advisors develop expertise to oversee the whole degree and guide students through the process of building a coherent and meaningful curriculum out of its components parts and the many options and paths available: core requirements, programs and program combinations, and curricular and cocurricular opportunities.
Essential Job Duties:
- Provide comprehensive academic advising to a cohort of undergraduate students, guiding them in creating meaningful and coherent curricula that align with their goals and interests.
- Assist students in navigating core requirements, programs, and co-curricular opportunities while addressing academic challenges and connecting them to campus support services as needed.
- Oversee their progress toward degree completion, ensuring alignment with long-term objectives.
- Contribute to the Arts and Letters Office for Undergraduate Studies by participating in meetings, committee work, and projects assigned by the Director of Advising.
- Assist in coordinating May Commencement ceremonies and represent the College and University as an advisor at events such as orientations, recognition ceremonies, open houses, Junior Parents Weekend, and Admissions functions.
- Oversee undergraduate administrative processes for an assigned student cohort, including requests for overloads, pass/fail, part-time status, late course changes, and separations.
- Consult on academic accommodations, study abroad approvals, degree audits, and transfer course evaluations in collaboration with relevant campus offices.

- In person (due to the nature of the position, remote/hybrid work arrangements are not possible).

Minimum Qualifications
Essential skills, expectations, and competencies for academic advising include the following:
- Advanced academic expertise in a discipline housed within the College of Arts and Letters or in a discipline that aligns with one of the College’s interdisciplinary or cross-college programs.
- Ability to guide a student in the process of developing, adapting, and pursuing a coherent curriculum of study through in-person academic advising meetings.
- Ability to master the undergraduate curriculum and co-curricular opportunities.
- Commitment to advancing the Dean’s priorities for undergraduate education.
- Knowledge of and adherence to the requirements of FERPA.
- Exceptional organizational skills and attention to detail.
- Ability to master the relevant software and web-based applications.
- Ability to manage a high volume of communication with students, faculty, and staff in a timely and professionally appropriate manner.
- Ability to manage several complex administrative processes and responsibilities simultaneously: degree-requirement audits, schedule audits, study-abroad approvals, transfer-course approvals, drop requests, separation requests, return-to-studies applications, academy review of transfer applications, directed-readings requests, pass-fail requests, part-time status requests, etc.
- Ability to establish and cultivate collaborative relationships within the College and across the University in support of undergraduate education.
Required:
- Education: Master’s degree.
- Experience: 1 to 2 years in higher education or a similar field.
Preferred Qualifications
Preferred Qualifications:
- Terminal degree in a discipline housed within the College of Arts and Letters or in a discipline that aligns with one of the College’s interdisciplinary or cross-college programs.
- Two or more years of teaching experience in higher education. Prior experience in academic administration and/or advising is a plus, but not required.
