Job Description

We are seeking an Academic Program Coordinator who will be responsible for coordinating, facilitating, and implementing academic support services and program activities. This role supports faculty, students, and staff, ensuring smooth program operations while maintaining effective communication across programs. Key responsibilities include program coordination, student support, administrative assistance, and handling financial and operational tasks. The coordinator works closely with program leadership to ensure academic and administrative systems align with the program’s objectives.


Specific Duties & Responsibilities

  • Coordinate and manage academic systems and administrative services to support the program's activities.
  • Work with the program director to develop and maintain academic course schedules; input course/section information into SIS and update it regularly.
  • Assist with the assignment of adjunct faculty and the collection of textbook information.
  • Prepare and process adjunct faculty contracts and track payroll request forms.
  • Serve as the primary point of contact for faculty, handling travel arrangements, reimbursements, and administrative documentation.
  • Monitor course enrollments and communicate with faculty regarding necessary adjustments.
  • Coordinate program events, meetings, and logistics, including invitations, agendas, and scheduling.
  • Assist in the creation, proofing, and distribution of program materials such as handbooks and catalogs.
  • Manage program marketing events, including planning and logistics.
  • Provide technical support, including the management of electronic and paper records, and handling data compilation and analysis for reporting.
  • Develop and maintain secure systems for confidential student records, ensuring compliance with university policies.
  • Coordinate program-specific operations such as orientation and graduation events.
  • Provide information to prospective and current students regarding admissions criteria, program requirements, course content, schedules, and academic advising.
  • Serve as a liaison between students, faculty, and administrative offices such as Financial Aid, Registrar, and Student Accounts to resolve issues.
  • Work with faculty to address grading concerns, including grade changes and incomplete grades.
  • Facilitate student orientation and other student-focused events, ensuring a welcoming and organized experience for new and returning students.
  • Manage budgets and expenses for program-related activities, ensuring timely and accurate financial reporting.


Special Knowledge, Skills, & Abilities

  • Strong proficiency in administrative and academic systems such as Slate, SIS, SAP, Canvas, Qualtrics, and Microsoft Office Suite.
  • Excellent proofreading, editing, and communication skills, with the ability to manage confidential information.
  • Strong organizational, analytical, and problem-solving skills with the ability to assess priorities and manage competing responsibilities.
  • Experience in project management and systems thinking.
  • Ability to work collaboratively across programs and departments, maintain effective working relationships, and provide constructive feedback.
  • Knowledge of University policies related to finance, human resources, and academic administration.
  • Capacity to lead and inspire a team while fostering a culture of respect, flexibility, and continuous improvement.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Three years administrative/academic related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Bachelor’s Degree.
  • Five years of progressively responsible experience in program administration within higher education.

Role/Level/Range: ATO 37.5/02/OE  
Starting Salary Range: $18.20 - $33.90 HRLY ($30.00 HRLY targeted; Commensurate with experience) 
Employee group: Part-time 
Schedule: Monday-Sunday 
Exempt Status: Non-Exempt 
Location: Remote
